Import ACT! Data

To import your contact information from your existing ACT! Database and template WorkCenter uses an Import Wizard, but first you must create the text delimited file from within ACT! to import the data. You can follow the directions from within ACT! or keep reading and follow the directions we have given here.

 

Step 1. Open your ACT! database and choose File then Data Exchange and then Export

Step 2. The ACT Export wizard will open, under File Type: choose Text-delimited and under File name and Location: Enter the location and name of the file to which you want to export data. Example: C:\Documents and Settings\My Documents\Actdata.txt

Step 3. Once the file has been created and saved to the location you have specified, open WorkCenter and choose File, Import and then Contacts / Loans from the WorkCenter menu.

 

Note: You may also import into an Excel spreadsheet by saving the text delimited file from Act! and open the text file by right clicking with your mouse and choose Open With... and then choose Microsoft Office Excel if you see it in the list, or choose Program... when the program list opens choose Excel. Step 4. After you have clicked on Contacts / Loans the Import wizard will appear, choose Text file as the table type and then click Next >.

Step 5. Click on the button to the right of import from file: OpenFileIcon

Step 7. Open the location of the Text file that you had created in ACT! Select it and click on Open.

Step 8. Once the Import from file location has been entered click Next >.

Step 9. Choose Delimited and Tab as the image below shows and click Next >

Step 10. The only settings you need to change on the next Import Wizard screen (Data Formats) is the First Row, text files do not have column headings as Excel files do, so we need to change  from its default 1 to a 2 for text import, as the below image shows and click Next >.

Step 11. The next screen is where you will be naming the fields of your Act contacts information.

Step 12. click on any field and a field naming (pop-up) will appear.

Step 13. Name each field with the appropriate name. Example: If Field3 is the company name in Act, then you would choose Contact.company name from the pop-up window.

Step 14. After the field naming has been completed click Next> you will then have to choose what field will be the key field such as; contact.Last name or Loan number.

Step 15. Check the data fields to make sure that they are correct. The Load when and skip if are for advanced users, (You don't need to use either for the import process) they are for programming expression builders. Example: Skip if contact.LoanAmount is less then 125,000 or load when contact.LoanAmount is greater then 350,000. Click Next >

Step 16. The next screen you will choose what you want to happen when you import the contact data, Example: do you want it to Append/Update: if record exists in destination, update it. Otherwise, add it.

Make your choice from the list what you want to happen with the data. and then click Execute.

The Act! data will then be imported into WorkCenter.
